HIRE FEES.

Deposits and hire fees must be paid by the dates stated on the booking form. The £50 booking fee confirms your booking and is normally returned on the day of your event. (This is only banked if the event is booked more than six months in advance.)

Damage deposits of £100 or £250 are always paid into the bank and normally

returned within ten days.

CAPACITY

The hall is licensed to hold 250 people. There is seating for 180 people. You must

 not exceed the capacity of the hall.

AGE LIMIT.

The hirer must not be under 21 years of age. The hirer is in charge of the premises

 at all times and is responsible for ensuring all Terms & Conditions are met.

SECURITY.

The hirer must agree to pay the cost of hiring security staff for the whole evening for 18th and 21st parties and any party where guests are predominantly under 25 years of age and from 9.30pm to 12.30pm for engagement & wedding parties. Security staff must be arranged by the Parish Council.

ALCOHOL.

A fully stocked bar is available for hire. Please contact Dave Chell on 01438 353042. To sell alcohol yourself will require an application to Welwyn Hatfield Borough Council for a  "Temporary Event Notice". This is normally only permitted for charity fundraising events.

Alcohol may only be sold or given to persons carrying age identification stating they are 18 or over. Failure to comply with this law could result in prosecution.

DRUNK AND DISORDERLY BEHAVIOUR SHALL NOT BE PERMITTED ON THE PREMISES OR SURROUNDING AREA.

DAMAGE.

The hirer is responsible for supervising the premises to ensure no damage occurs. The hirer will pay for all damage including accidental and loss of contents. Nothing must be fixed to the walls, floors, doors or any other fittings without permission from the Parish Council.

NOISE.

Low frequency noise equipment such as sub woofers are not permitted. The hirer is responsible for informing the music provider of this rule.

HEALTH & SAFETY.

The hier must report all accidents involving injury to the public to the Parish Council and write it in the accident book.

Walkways must be free from obstruction and any spills cleared up immediately to eliminate trip & slip hazards.

The hirer shall observe all relevant food health & hygiene legislation and regulations when storing, preparing, serving or selling food.

The cooking of food must be closely supervised.

Any electrical items brought into the premises must be in good working order and used responsibly.

In accordance with the law smoking is not permitted inside the premises.

FIRE.

All escape routes must be free from obstruction.

All decorations must be fire retardant.

Do not light candles in the kitchen; they will activate the fire alarm.

Do not use smoke machines; they will activate the fire alarm.

If a fire occurs the hirer is responsible for evacuating the building and closing all doors.

The fire service must be called immediately however small the fire.

Report the fire to the Clerk or caretaker.

DO NOT ATTEMPT TO PUT OUT THE FIRE.

ENTERTAINMENTS LICENSE.

It is a condition of the Parish Council's Entertainments License that music must stop at 11.30pm. The hirer is responsible for ensuring the person organising any music knows and obeys this rule.

All doors must remain closed when music is played out of respect to the neighbours.

PRS FOR MUSIC & PPL

Where an event is open to the general public, the hirer is responsible for ensuring that any hired entertainment that plays recorded or live music to the public has a PRS for Music (Performing Rights Society) License and a PPL (Public Performance License) or the hirer must obtain them.                                                            

Domestic events are covered by the hall's PRS License. 

LEAVING THE HALL.

 The hirer is responsible for vacating the premises promptly at the end of the hire period.

The hirer shall agree that the caretaker can terminate proceedings at a time which will allow the hall to be tidied and vacated on time.

All equipment must be stored away and the hall and grounds left in a clean and tidy condition.

THE HIRER SHALL ENSURE THAT GUESTS DEPART THE PREMISES IN AN ORDERLY MANNER AND AS QUIETLY AS POSSIBLE OUT OF RESPECT TO THE NEIGHBOURS.

RUBBISH

All rubbish should be taken away or the Parish Council will charge £4.00 per bag for disposal.

STORED EQUIPMENT.

No equipment may be stored in the hall after the hiring period.

The Parish Council will not accept responsibility for any items left in the hall.

Hirers will be charged £1 per week for storage of uncollected items.

THE CHILDREN ACT 1989.

 All hirers organising events where children are unaccompanied by their parents or guardians shall:

Ensure that any activities for children under eight years comply with the provisions of The Children Act 1989.

Ensure that only persons who have passed the appropriate Criminal Records Bureau checks have access to children.

Provide the Parish Council with a copy of their Child Protection Policy on request.

RIGHT OF REFUSAL OR TERMINATION.

The Parish Council has the right to refuse or cancel any booking or refuse admission to an individual without the need to give its reasons.

 

ANY PARTY CAUSING A DISTURBANCE WILL BE CLOSED DOWN IMMEDIATELY.

 

THE PARISH COUNCIL RESERVE THE RIGHT TO WITHOLD SOME OR ALL OF THE DAMAGE DEPOSIT FOR NOT COMPLYING WITH ANY OF THESE TERMS & CONDITIONS.
